• Time is considered stale after ninety (90) days
• Expenses totaling more than $2,000 may be billed directly to USAA
  • Sent to ACCOUNTSPAYABLE@USAA.COM
• Client must approve all legal research
  • Name of person approving research must be included in time entry
    • Copies of motions and supporting research, legal notes, memoranda, and briefs produced as a result of the research shall be promptly provided to USAA via e-mail.
• Copies of all memos, whether internal or included in a brief, shall be forwarded to USAA
• Expedited deposition transcripts require pre-approval
  • Overnight or express service for deposition or court transcripts require pre-approval
• Multiple attendance requires prior approval
• In-Firm conferences are non-billable unless it is approved by USAA
• USAA will not reimburse any overnight express delivery or messengers

Travel:

• USAA will not pay for time spent traveling unless Outside Counsel works on USAA business while traveling
• USAA will not pay for local travel expenses (taxi, limo, Uber, Lyft, and parking)
  • Local travel is considered within a twenty-five (25) mile radius of Counsel’s office
• The client will reimburse the following reasonable expenses for long-distance travel:
  • Airfare – Economy class only (within US)
    • Business-class travel to overseas destinations may be approved upon request
    • No first-class travel charges unless explicitly approved by USAA
  • Hotel - moderately priced 
    • No suites, no luxury accommodations
  • Rental cars (out of town)
    • Mid-size rental automobiles are to be used
      • Only allowed if out of town assignment is for an extended period of time and with USAA prior approval
  • Mileage at current IRS rates
  • Meals (only for long-distance travel)
    • USAA will not pay for alcoholic beverages
      • Breakfast: $15.00       
      • Lunch: $25.00
      • Dinner: $50.00
• Counsel may not seek reimbursement for incurred travel expenses that are cancelled by Counsel
